What Scubalia does for you
For instructors — qualifications and training trips
Qualification tracking by agency (FFESSM, CMAS, PADI, SSI), destinations filtered by the levels you teach, and training-trip files you reuse from one season to the next.
- The trip file is picked up instead of rebuilt
- Everyone's level checked at a glance
- Destinations that fit what you teach
The member sign-up portal
The club opens a portal to its members, reachable by QR code or with the club's identifier. Members fill in their own file, pay their membership online by card and upload their documents (medical certificate, certification card); the club approves. The payment goes straight to the club, never through us. The register fills itself in as they go, with nothing retyped.
- No more paper forms to retype one by one
- Memberships paid online, with no cheques to bank
- A complete, up-to-date file, filled in by the person concerned
- The QR code on the club noticeboard is enough: nothing to install
For clubs — members, kit and finances
A member and instructor register with dated statuses, search, filters, statistics and import/export. Automatic tracking of qualifications across agencies. An equipment inventory with condition and service deadlines. Finances: income, spending and bank reconciliation. Scheduling that syncs with Google Calendar. Delegation chapter by chapter — register, finances, scheduling, inventory — and a daily backup.
- The September rush handled in a few hours instead of several evenings
- No more expired licence or qualification slipping past unnoticed
- A kit inventory that warns you before the service is due
- The club's history survives a change of committee
The instructor rota
Staff absences are recorded in the club's schedule. For each activity, an alert warns when only one person can still supervise, or when no one can.
- An outing with no one to supervise shows up before the day
- Staff absences in the same place as the schedule
Do you recognise yourself in one of these situations?
In a club, the information lives in somebody's spreadsheet: who is up to date on their membership, who holds which qualification, which cylinder is due for testing. Every September it is retyped; every change of committee loses half the memory.
Now that you can see what it does: Scubalia opens at scubalia.com/en — 30 days free, no card needed.
A question right now? The Scubalia assistant answers it right here.
Why Scubalia rather than something else
- 01One subscription for the whole club: €189 a year, a single line in the budget, not a price per member or per instructor.
- 02Qualifications tracked whatever the agency — FFESSM, CMAS, PADI, SSI in the same register: a mixed club does not keep two lists.
- 03Membership payments go straight to the club. The portal collects into the club's own account, without passing through us.
- 04The history does not leave with the former secretary's spreadsheet: delegation chapter by chapter, daily backup, export at any time.
- 05The inventory warns you before a cylinder is due for testing, rather than the test warning you after.

The questions you are asking yourself
Our club works perfectly well with its spreadsheet.
Until the day the committee changes and half the history goes with it. At €189 a year for the whole club, the real question is how many evenings you want to spend on September sign-ups again.
Do you sell trips?
No, and that is deliberate. We sell nothing and earn no commission. You book directly, wherever you like.
Does the Sub Aqua Club plan keep an operational safety log, or take bookings?
Sub Aqua Club covers the member sign-up portal with online payment, the member and instructor register, qualifications, the equipment inventory, finances and scheduling. It produces no operational safety log, and it takes no trip bookings.
If I stop, do I get my data back?
Yes, export your data at any time.
How do our members sign up?
They scan a QR code, pick their activities and sign up for several at once, at the prices you wrote, with your wording and your levels, season by season. You have nothing to fit into our categories: we impose none.
Our club does more than scuba. Does it keep up?
Nineteen activities are in the catalogue, with no hierarchy between them: scuba and freediving, finswimming, underwater hockey, underwater rugby, pool competition diving, target shooting, orienteering, whitewater swimming, spearfishing, Mermaids and Tritons, snorkelling, children's diving, adaptive diving, cave diving, photo and video, marine biology, archaeology, first aid. A member belongs to several sections without counting twice, and each section has its own prices, instructors and venue.
Who collects the membership fees?
The club does. The portal collects into the club's own account, without passing through us. The commission is charged by Stripe, the payment provider, never by Scubalia: standard rate in France and the euro area, 1.5% + €0.25 per successful payment with a European card; it varies with the country and the card type, the fixed part weighs more heavily on small amounts, and a currency conversion adds about 2%. Scubalia charges nothing on these membership fees and never touches this money.
Where is our data hosted?
In France, in the European Union, under the GDPR. The rights of access, rectification, erasure, portability, restriction and objection are exercised in writing. We sell no data.
What about medical certificates?
They are filed and dated, never judged: we assess no fitness to dive — that is a doctor's business.
What do our members get out of it?
Every member of the club, instructors included, gets the Standard plan — €2.99 a month — free until 15 September, the end of the season, like the federation licence. It is included, not a trial: the same account serves the logbook and club life.
We have more than 200 members.
The €189 price covers up to 200 members per year per club; beyond that it is a quote. The Standard plan given to your members is kept whatever price is agreed.
Will my price increase, or stay stable, when Scubalia adds features?
Not during your subscription: your price stays stable, the one you signed up for, for the whole current period, whatever new features are added in the meantime. If Scubalia changes its prices, the new price is announced by email to all subscribers at the same time, at least 30 days before it applies; it only covers periods starting from that date, never a period already under way, and you remain free not to renew.
And your members?
A dive logbook and neutral travel advice, for them. We sell no trips and no kit: the club has nothing to arbitrate, and its divers travel better prepared.

The questions above and the assistant answer straight away, and the trial opens Scubalia's own channels — precise questions, bugs, ideas. If a question is still unanswered, leave your address: the Scubalia team replies in writing, on your case, and never calls you.
